Forms &

Tools

Our tool belts are nearly UNLIMITED

We make use of and recommend several tools

WE’ve put our most commonly used tools right here for you.

We know taxes are scary and confusing enough without having to learn new tools and resources. We’re putting our most commonly used forms and tools here for your convenience.

Some of these are a bit repetitive and/or exist elsewhere, too. But, we’re firm believers in putting the same information in multiple places and in multiple ways. Sometimes, it just hits different when you read or see something somewhere else.

This page was originally set up when we relied a bit more on Cognito Forms for collecting information from you. As Moxo releases more tools and capabilities, we’re relying on these more and more and on Cognito Forms Less. We’ve still collected some of our most used Forms, Tools, and Resources here for you.

What do I need to know about tax season?

We work really hard to communicate with you all of the details about tax season early and completely.

But, there’s still dozens of other clients, and someone will come first and others will not. We’re keeping our Tax Season FAQ as up to date as we can without being obsessive or letting updating it get in the way of what we do.

This year, we’re also using a queue number and system to help you know where we’re at in the queue. Keep an eye on the top line count downs and numbers for more details.

Moxo is Our Portal (Click Here for Guides)

And while we think it’s pretty great and user friendly, we recognize a little bit of guidance goes a long way.

The following Guides are scheduled to be updated. Some of them have been scheduled to be updated for…a while. Sometimes, we have to make hard choices: update a guide or prepare a tax return. Except at the rollover from one tax season to the next, we’ll usually choose the tax return.

When will my tax return be done?

That’s really dependent on when you provide your information, how complete it is, and, frankly, when everyone else also provides their information.

Historically, we receive 75%+ of our client’s information in the days leading up to the final day to receive information. The sooner you provide your information, the sooner we can get started on it and the less likely your information will come in at the same time as everyone else’s.

And, if you have questions about this, you might check out:

I want help with my Bookeeping / Accounting.

We’re offering support for your accounting and bookkeeping needs through these 2025 Monthly Maintenance Sessions.

These are designed to help you get through your accounting and bookkeeping as well as keep you informed, up to date, and help with tax maintance like updated estimated tax payments, salary reivew, and more.

We’ll have a whole entire page on this and more details available later. For now though, this form is the place to go for more information and to sign up.

Where and how do we start working together?

The first step to working with us is completing an introductory survey. Your survey is the first step in determining if we might be a good fit to work together. If we are, we’ll have a virtual meet and greet to dig into a little bit more detail. The survey and this discovery meeting will give me information about you, let me tell you about Crayon Advisory and how we can support you, and outline the Onboarding Process.

Auxiliary Software Consents

Before we get started working together, we need to have your consent to do so. That consent goes a little bit further than just, “yes, please do things for me!”

It starts with these Auxiliary Software Consents. I know, I know, no one has asked you to do this before and you’ve worked with many preparers in the past. We still think it’s important. You can read more here.

How do I pay that tax!?

We generally provide payment instructions, including a link to the appropriate payment location and a payment voucher, for any payment we prepare. We encourage you review the respective Delivery Letter and/or Moxo for this information.

If you are making a payment electronically, make sure the name on the account you’re making the payment from matches at least one name on the tax form. If you’re attempting to make a personal tax payment from a business account, you may not be able to do this – you may need to first transfer the cash to your personal account.

  • IRS Online Account – if you file married joint, please have the primary taxpayer (first name on the tax return) login to make the payment.
  • IRS Direct Pay – if you file married joint, please associate any payments with the primary taxpayer (first name on the tax return).
  • Oregon Revenue Online – if you file married joint, please have the primary taxpayer (first name on the tax return) login to make the payment.
  • Portland Revenue Online – if you file married joint, please have the primary taxpayer (first name on the tax return) login to make the payment.
  • California/FTB Payments – if you file married joint, please associate any payments with the primary taxpayer (first name on the tax return).
Yikes! I can't afford that amount of taxes!

The IRS and other tax agencies are willing to work with you on payment through Installment Agreements and other arrangements. You will need to remain compliant, including making current estimated tax payments, in order for your Installment Agreement or other arrangement to remain active.

  • IRS Installment Agreement – if you owe less than $25,000 to the IRS, they will automatically accept your installment agreement request. If you owe a bit more than that, do what you can to get the tax paid down so you can enter into an installment agreement. Especially for automated installment agreements, we encourage you to apply for this on your own to decrease your fees.
  • There are other programs available as well, including but not limited to an Offer In Compromise. We don’t encourage you to go down this road on your own. We do offer this level and amount of representation. It’s not part of any other engagement. If you think you may qualify for this, you can always ask us and start a conversation. If we don’t think you’re a good candidate, we’ll tell you as such.
  • Oregon will offer an installment agreement through Revenue Online. It’s much more restrictive than the IRS’s program.

We do work all across the United States. If you’re having trouble making your tax payments to another state or locality, please let us know and we’ll help point you in the right direction.

I'm lost and don't know where to start with my accounting

We’ve written about this fairly extensively. You might start with a few articles we make available:

How do I Review My Tax Return?

I know it’s frustrating to work with a professional and then find out you need to review their work. But, just like if you went ot an attorney to prepare an Operating Agreement or Contract Template for your business, you still need to review the product we provide to you. This should help.

Can I just send you my information over email?

Email is a great tool to reach out, ask a question, or otherwise start a conversation. That moment when you know you need help but you’re not sure? Email is a great place to just put a bit of word vomit down and move the needle forward.

As wonderful as email is, it’s not secure, and should not be used for transmitting anything with something you’d want handled with discretion.

Crayon Advisory, LLC uses two tools to transmit information securely:

  • Moxo is a conversation based portal and is encrypted at rest and in transmission
  • Cognito Forms is a form software tool that may ask for certain information that may be senstive or secret.

Our email automatically removes attachments at the server for your and every other client’s protection. If you receive a notice, you’ll need to upload it to Moxo, preferrably as a PDF.
